Data handling in Copilot for Finance (preview)
[This article is prerelease documentation and is subject to change.]
This article provides an overview of how data is handled in Microsoft Copilot for Finance.
Copilot for Finance is built on a service that's hosted on Azure and has direct integrations to Dynamics 365 Finance and Microsoft Power Platform. Copilot for Finance has two forms of data storage:
- Financial data is stored directly in the connected Dynamics 365 Finance instance.
- Non-financial data, such as notes, email summaries, and emails, is stored in Dataverse via the connected customer relationship management (CRM) instance.
Data retention
Because Copilot for Finance non-financial data is stored in Dataverse, data retention policies differ from other Microsoft 365 applications and non–Dynamics 365 CRM solutions. For example, when your Microsoft 365 subscription ends, your data is retained for 90 days before it's automatically deleted (in accordance with Microsoft 365 data retention policies). However, if you use Copilot for Finance, that data isn't automatically deleted 90 days after your subscription ends.
Financial data that's stored in Dynamics 365 Finance respects the established data retention policies that are governed by Dynamics 365 Finance. For more information, see Data Archive and Long term data retention for Dynamics 365 F and O Apps and Expired subscriptions and data deletion.
Copilot for Finance, Dataverse, and your CRM instance
When Copilot for Finance is connected to Dynamics 365 Finance, Copilot for Finance non-financial data is stored in the Dynamics 365 Finance Dataverse instance.
Delete Copilot for Finance data
If you must delete Copilot for Finance non-financial data (for example, data for a specific user), you can choose to manually delete it. Any data that's updated in your Dynamics 365 Finance instance must be deleted through that instance. Administration of the environments can be managed through Microsoft Dynamics Lifecycle Services resources.
